Farm policy

Pay in Full Option - Mail a check for the full amount of Agritourism fee. 
Payment Plan Option - Mail a check for 50% of Agritourism fee.  

In the deposit, also include the cleaning fee of $500 and pet fee of $250 for first pet and $100 for any additional pets thereafter. Please note that the cleaning fee and all pet fees are NON- REFUNDABLE.

Please make check payable to The Ashby Grove, and In the memo section your  host last name including the date/dates of your event. Please mail your deposit to: Jeff Steckbeck c/o The Ashby Grove at 33 Royal Crest Drive Apt. 1 Nashua, NH 03060. DO NOT MAIL ANYTHING TO THE FARM ADDRESS ,as it is not secured. 

Payment Schedule:
1st Installment: due 12 months before your wedding (Balance divided by 4)
2nd Installment: due 9 months before your wedding (Balance divided by 3)
3rd Installment: due 6 months before your wedding (Balance divided by 2)
4th Installment: due 3 months before your wedding (Balance divided by 1)

In the event that you cancel your wedding or event all monies paid will not be refunded. They can be transferred to a new available date.

We need headcount 90 days prior to event. Last day to modify is 30 days prior to event. Often catering if based on headcount.

You will have exclusive access to the farm grounds and all of our venues and amenities. Music is required to be muted at 11:00 PM and all guests who are not staying overnight on the farm, must to be off the property by Midnight each night.

Because The Ashby Grove is fair and flexible, we allow you to reschedule your event at no charge. All of your deposit monies will be applied to your new date. Rescheduling is based on availability. All efforts will be made to accommodate your reschedule.

Fees and Taxes: 
15% of your bartending charges will be subject to an additional alcohol tax. 
Sales tax will be added to all food and beverage according to the Massachusetts state sales tax rate.  
Gratuity of 25% will be automatically added to all food and beverage ordered.
There is no smoking anywhere in the barn, in the covered bridge or in the cabin. All other parts of the farm; outside, you are permitted to smoke.  

Standard Cleaning Fee for all bookings is $500, which will be charged to you at the time of booking. We reserve the right to charge additional monies to cover extraordinary cleaning and/or repair to damage caused by the event. This covers cleaning and cleanup for the venue and catering.
The Ashby Grove requires a Weekend Schedule/Timeline, no later than two weeks prior to the event. The catering team will arrive at approximately the time listed as catering arrival time on your contract and always will allow enough time for our own set up. If special arrangements need to be made for an alternative arrival time, we must be made aware of this 2 weeks prior to the event date and may result in an additional service fee for extra labor time.

Leftover food may or may not be available for the client to keep or take home. The Ashby Grove prepares 5% overage based on the final number of guest count registered by the Client. Part of this overage is to include food for the staff and/or service providers. In accordance with Massachusetts health codes, The Ashby Grove LLC reserves the right to discard any food items where there is a reasonable risk for foodborne illness to occur. Repackaging of leftover food, if any, is at the chef's discretion and not a guarantee. Client is responsible for providing to The Ashby Grove, containers with lids or freezer bags for any leftovers and the food must be directly stored into a refrigerator or cooler with ice that is supplied by the Client.
Menu items may contain or come into contact with WHEAT, EGGS, PEANUTS, TREE NUTS, FISH, SHELLFISH, SOY, MILK and other common allergens. Please be aware that we use a single kitchen for the preparation of all dishes, and as a result, we are unable to guarantee that any menu item can be completely free of allergens. The Client assumes all risk of allergic reaction. Without limiting the foregoing, The Ashby Grove, LLC will take reasonable steps to minimize the risk of known allergens that are disclosed to us in writing by the Client.

When an insured bartender is on-site to serve alcohol, there can be no self-pouring or self-serving of alcohol by the Client or guests. Guests must receive all alcohol from the bar. Special arrangements for serving certain traditional, celebratory or commemorative beverages supplied by the client can be made with advanced notice. The Ashby Grove LLC and any contracted bartenders reserve the right to deny any guest service if we believe signs of intoxication are shown. We expect guests to enjoy themselves responsibly.
Gratuity for drink service is Tip Jar Method. If no Tip Jar is available at the bar then the host will be required to tip a minimum of 15% of the total bartending fee. Additional gratuity for food service staff is suggested on your invoice and is appreciated but not required.

The Client assumes all responsibility for any damage or loss of merchandise, alcohol, equipment, furniture, clothing or other valuables prior to, during and after the event. The Client also assumes all responsibility for accidents or injuries to guests resulting from any cause, including guest or Client misconduct or intoxication, unless the accident or injury results exclusively from the willful misconduct of The Ashby Grove LLC, or its employees. The Ashby Grove LLC will use reasonable measures to care for and maintain all of the Client's supplies, rentals and equipment in good working order and without damage. The Client understands that accidents/breakage and/or damage may sometimes occur. The Ashby Grove LLC will not be liable for any damage or loss, unless specifically caused by willful or negligent actions or conduct of The Ashby Grove LLC employees.

The Client will comply with all the laws of the United States of America and the State of Massachusetts, all municipal ordinances and all lawful orders of police and fire departments, all rules imposed by the event/function premises, and will not do anything on the event/function premises in violation of any laws, ordinances, rules or orders. If unlawful activities should occur on the premises, and the event is canceled or terminated prior to its planned conclusion, there will be no refund due from The Ashby Grove LLC to the Client.
We provide the appropriate staff to cook and serve the food we have agreed to provide, and to clean up after the event. On site catering staff will be dressed in Chef Clothes or all black unless you request something different. Our catering staffing begins at the starting time through final cleanup of our area of the event. The Ashby Grove LLC begins clean-up approximately 1 hour 15 minutes after the main meal is served unless other arrangements are made by the Client for overtime.

Once again, all payments and reservation fees are non-refundable in the event of cancellation of your event. You acknowledge that retention of all reservation fees and payments made through the date of your cancellation by The Ashby Grove LLC is necessary because of the nature of its business and industry, in which events are normally booked many months in advance, so that a cancellation will often make booking another event impossible with a short time frame and resulting in substantial loss of profit. The amount of such loss is not capable of precise calculation in advance, and it is the experience of The Ashby Grove that in most cases the reservation fee and payment amount reasonably approximate such loss.

Neither Party will be liable for any failure or delay in performing an obligation under this Agreement that is due to any of the following causes (which events and/or circumstances are hereinafter referred to as "Force Majeure"), to the extent beyond its reasonable control: acts of God, accident, riots, war, terrorist act, epidemic, pandemic, quarantine, civil commotion, breakdown of communication facilities, breakdown of web host, breakdown of internet service provider, natural catastrophes, governmental acts or omissions, changes in laws or regulations, national strikes, fire, explosion, generalized lack of availability of raw materials or energy; provided that the parties stipulate that Force Majeure shall not include the novel coronavirus Covid-19 pandemic which is ongoing as of the date of the execution of this agreement.
For the avoidance of doubt, Force Majeure shall not include (a) financial distress nor the inability of either party to make a profit or avoid a financial loss, (b) changes in the market prices or conditions, or (c) a party's financial inability to perform its obligations hereunder or to perform its obligations hereunder.
